Artdepartment™ (“we,” “us,” “our”) operates a creative subscription service and a private client dashboard (“Client Dash”). We collect and use personal data to provide branding, packaging, creative, and subscription services to our clients.

  • How long we keep it

  • When we share it

  • How we protect it

  • Your rights and choices

We collect information in three ways:

2.1 Information You Provide Directly

This includes:

  • Name and contact information

  • Account login email

  • Billing information

  • Creative briefs, questionnaires, strategy docs

  • Uploaded files (logos, brand assets, packaging files, etc.)

  • Project communication

  • Feedback or revision notes

If you use Client Dash, we also store:

  • Your dashboard tag (e.g., “dash-#”)

  • Internal project notes

  • Asset delivery history

We never ask for or store Social Security numbers or sensitive medical/financial records.

2.2 Information Automatically Collected

When you visit our website or dashboard, we automatically collect:

  • IP address

  • Device information

  • Cookies

  • Browser and analytics data

  • Session behavior (page views, navigation)

This helps us maintain security and improve performance.

2.3 Information From Third-Party Platforms

Because our system is built on Shopify, we may receive:

  • Order/subscription details

  • Payment status

  • Shopify account ID

  • Authentication confirmations

We do not see your full credit card details — Shopify handles all payment information.


3. How We Use Your Information

We use your information to:

  • Provide creative services

  • Manage subscriptions and billing

  • Authenticate dashboard access

  • Deliver project files and revisions

  • Store brand assets for future work

  • Improve our products and website

  • Communicate about projects or support

  • Maintain security and prevent fraud

We also use aggregated (non-identifiable) data for internal analytics.


4. How We Handle Your Project Files

Because Artdepartment™ is a creative service, we frequently work with files you upload. We may store:

  • Logos

  • Packaging files

  • Brand books

  • Photography

  • Text assets

  • Strategy materials

  • Creative direction documents

We do not:
  • Sell your assets

  • Share your files outside your authorized scope

We may share files:
  • With approved contractors working on your project

  • With print vendors only if you authorize a handoff

All contractors are bound by confidentiality agreements.


5. How Long We Keep Data

We keep your:

  • Account information — until you ask us to delete it

  • Project files — for 24 months after project completion

  • Subscription data — as long as your subscription is active

  • Legal/financial records — as required by law (typically 7 years)

You may request deletion at any time (see Section 10).


6. Sharing Your Information

We only share data with:

  • Trusted vendors (Shopify, email providers, cloud storage, project tools)

  • Approved contractors (only when needed for your project)

  • Print manufacturers (only with your authorization)

  • Legal compliance authorities (if required by law)

We do not sell personal data.


7. Cookies & Tracking

We use cookies to:

  • Keep you logged in

  • Enable dashboard functionality

  • Improve performance

  • Measure traffic and analytics

You can control cookies in your browser settings.


8. Subscription & Payment Information

Subscriptions are processed by Shopify and are auto-renewing.

Your data is used to:

  • Activate or pause subscriptions

  • Process payments

  • Prevent failed renewals

  • Comply with California Auto-Renewal Laws (ARL)

We never store your full credit card number.


9. Security

We use:

  • Encrypted connections (HTTPS)

  • Shopify’s secure PCI-DSS systems

  • Access-controlled storage

  • Contractor confidentiality agreements

However, no platform can guarantee 100% security.


10. Your Rights

Depending on your location (California, EU, UK, etc.), you may have rights to:

  • Delete your data

  • Receive a copy of your data

  • Opt-out of sale or sharing

  • Restrict data processing


11. Children’s Privacy

We do not target or knowingly collect data from individuals under 18.


12. International Transfers

If you are outside the U.S., your data may be processed in the United States. We use approved legal mechanisms where required.

We may update this policy as our business evolves. Updates will appear on this page with a new “Last Updated” date.
